FINANCIAL
1. To monitor and minimize office expenses.
2. To advise and consult with Director of Sales to obtain highest possible profits in business dealing.
3. To achieve targets in terms of number of new Accounts acquired, Room Night and Revenue as set by the Director of Sales.
4. To submit monthly entertainment schedule to the Director of Sales for approval.
OPERATIONAL
5. Systematically and efficiently call on Key Accounts within location and report findings and opportunities to the Director of Sales.
6. Pre-qualify and target Key Accounts within assigned territory and develop appropriate and effective sales solicitation strategies to increase hotel’s market share.
7. Ensure a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication. 80% of own time to be dedicated to direct acquisition activities.
8. Develop and maintain pro-active relationship with potential and current accounts through regular sales calls and in-house entertainment based on business priorities.
9. Arrange and conduct site inspection for potential and key accounts.
10. Actively pursue business leads received from all sources.
11. Ensure all group proposals and group agreements are prepared following hotel standards.
12. Review all pending group on weekly basis to ensure that all business on the book is “Live” and traced, tracked for confirmation.
13. Coordinates with Sales Coordinator to ensure all in-house groups are handled smoothly.
14. Ensure Sales Coordinates continuously add and update the perpetual database of groups, catering and conference leads and to utilize the database for implementation of an efficient and targeted acquisition program.
15. Ensure that all credit and collection procedures that have established by the hotel are implemented following the established Credit Policies & Procedures.
16. Ensure that all sales contracts follow the established Hotel Policies & Procedures and are based on sound commercial judgment.
17. Be demanding and critical when it comes to departmental standards.
MARKETING
18. Identify market needs and trends through regular Market Surveys and Competitor Research ( sales promotions and activities ) and provide feedback to Director of Sales.
19. Assist Director of Sales with planning, implementation and execution of sales & marketing promotional activities.
EMPLOYEE HANDLING
20. To assist in the training of subordinates as part of the effort to build an efficient team and to be able to take an active interest in their personal development and welfare.
21. To ensure that all employees provide a courteous and professional service at all times.
22. To supervise the employees within the department, ensuring that the correct standards and methods of service are maintained as stated in Department Standard Operation Procedure.
23. To ensure that all employees maintain a high standard of personal appearance and hygiene at all times.
24. To ensure that all employees report for duty punctually wearing the correct uniform and name badge at all times.
25. To assist in the building of an efficient team of employees by taking an active interest in their welfare, safety and development.
26. To ensure that all employees have a complete understanding of and adhere to the Hotel’s Employee Rules & Regulations.
27. To ensure that all employees have a complete understanding of and adhere to the hotel’s policy relating to Fire, Hygiene, Health and Safety.
ADMINISTRATION
28. Maintain at all times an efficient and accurate filing system, both manually and electronically
29. Maintain complete and supported records of all Sales Agreement, Contracts and Quotations.
30. Ensure all Sales Contracts are issued on time.
31. Keep and safeguard all contracts and financial documents at all time.
32. Ensure up-to-date database of all accounts are maintained.
33. Provide accurate details of group business booked to Sales Coordinator for monthly consolidation.
34. Maintain efficient trace systems to ensure all business booked are properly tracked.
35. Submit weekly sales activities and entertainment schedule to Director of Sales every Friday.
36. Submit monthly sales activities report to Director of Sales by the 5th of each month.
37. Attend weekly sales and yield meeting
38. Ensure all enquiries are replied within 24 hours, including group proposals.
39. Ensure all administrative work is executed in a professional manner following hotel standards as dictated.
