- Ensures that an efficient and accurate filing system, both manuals as well as electronic, is maintained at all times.
- Ensures accurate preparation and timely distribution of all Banquet Event Orders (BEOs) and event-related documents.
- Reviews contracts and agreements prepared by Sales to ensure operational feasibility.
- Submits accurate post-event reports and feedback to the Director of Events.
- Acts as the main liaison between clients and hotel operational departments.
- Leads pre-event meetings and ensures all departments are aligned on requirements.
- Oversees onsite execution of all events, ensuring standards, timing, and quality are met.
- Troubleshoots and resolves any operational issues during events.
- Ensures smooth handover from Sales/Events Sales Manager to Planning/Operations.
- Conducts post-event follow-ups with clients and internal teams.
- Handles client concerns promptly and ensures corrective actions are taken.
- Builds strong relationships with repeat and potential event clients
- Assists in managing event costs and ensures accurate billing for clients.
- Supports cross-selling and upselling of hotel products and services during the planning stage.
- Monitors banquet checks and guarantees are in line with agreed contracts.
- Supervises Event Planning Executives, ensuring effective workload distribution.
- Ensures training and development of team members in Hyatt Events Standards.
- Ensures all activities comply with Hyatt policies and local regulations.
- Attends training sessions and departmental meetings as required.
- Carries out any other reasonable duties as assigned by the Director of Events.
Yêu Cầu Công Việc
- Bachelor’s degree in Hospitality, Event Management, Marketing, Business, PR, or a related field
- Typically 2–5+ years of relevant experience in event planning or management, including corporate, social, or nonprofit events
- Good written and verbal communication skills in English
- Exceptional ability to organize events, manage multiple projects simultaneously, and meet deadlines.
- Strong leadership skills to manage teams, delegate tasks, and coordinate with vendors effectively
- The ability to think critically, solve problems creatively, and adapt to unexpected situations.
- Skills in sourcing, negotiating with, and managing vendors for catering, entertainment, and other event services.
- Familiarity with event management software (e.g., Cvent,...) andand proficiency in Microsoft Office Suite is often required.
- Adapt quickly to changes and tackle unexpected challenges gracefully Lead event staff, delegate responsibilities, and foster a collaborative atmosphere
