1. Types Food and Beverage reports, letters, memoranda, forms and other correspondence including those of a confidential nature for superior and his/her assistant
2. Keep up a proper filing and trace system
3. Takes down and transcribes minutes of department meetings, drafts routine or simple correspondence and memoranda of approval of FBM
4. Answers and places phone calls for FBM and his/her assistant, arranges approximants for FBM and reminds them of same
5. Receives and refers office callers to appropriate personnel, schedules and sets up appointments
6. Submits daily logbooks of F&B sections and informs FBM or his/her assistant of matters which need their immediate attention
7. Opens, reads, sorts and records incoming F&B mails, forwards to personnel concerned, informing them of those letters which need their immediate attention, dispatches and records outing going mail
8. Maintains adequate stock of necessary office suppliers, initiates necessary
requisitions for approval of FBM
9. Operates E-mail to send out F&B correspondences
10. Non-urgent E-mail to be programmed and sent out after 11am
11. Sees to the cleanliness and maintenance of own work area and equipment and F&B Office
12. Assists other Secretaries if necessary
13. Maintains strict confidentiality
14. Email to be replied within 24 hours
15. Checks with respective outlet Manager or Executive Chef that correspondences, memos and others and regularly collected from each oulet
17.Performs duties common to all rank-and-file personnel and other duties as may be assigned
