Temp Sales & Service Operation Specialist ( 1 year contract)

This position is responsible for providing end-to-end administrative and operational support for Research Microscopy Solutions (RMS) Sales and Service activities across CZVN, CZTH, and the wider SEA region. The role ensures accurate, timely, and compliant execution of Sales Saleforce and Service CRM, order processing, service coordination, and contract management, enabling smooth business operations and high customer satisfaction. The position works closely with Sales, Field Service Engineers, logistics, and factories to support installations, service delivery, and continuous process improvement while maintaining data integrity and ISO compliance.**Primary duties and responsibilities**• Support CZVN & CZTH on Sales Salesforce & Service CRM Activity• To ensure daily sales & service administrative tasks are being promptly executed to support the business operations for Research Microscopy Solutions (RMS).• Full ownership and accountability of RMS administrative / operations function.• Effective cross-border support of administrative activities within SEA• Work closely with Field Service Engineer to support smooth execution of field activities• Work closely with Sales Colleagues to support smooth execution of order processing.**Main Tasks:**• Inform sales and copy the team on tender bidding via email and monitor on the deadline for submission• Utilize CRM system to access quotations, verify accurate customer account details and prepare quotes for transfer to SAP ERP for order processing.• Review purchase orders to ensure alignment on parts, prices, taxes and shipping/payment terms and accurate transfer to service order document• Acknowledgement of purchase order receipt and delivery to customer via email• Processes customer purchase orders in CRM, ensures accurate order fulfillment and reports including regular updates to order details as needed• Follow up with factory on any special shipment requirement• Generate, submit and confirm orders with logistics and third-party vendors for customer purchases and coordinate delivery with logistics where needed• Follow up with Sales / Service /PASS on Installation & Training Schedule• Work closely with FSE to facilitate efficient and seamless customer system installations• Timely closing of service confirmation• Maintain accurate serialized component information where applicable prior to issuing delivery to customer to support install base integrity• Manage spare parts request, parts movement, invoicing with support from business operations• Research and resolve invoice discrepancies and process billing adjustments as needed• Timely release of PM order under Service contract and PM under system warranty• Track and maintain Service Contract in Service CRM. Prepare contract quotations, create contracts, contract renewals as well as scheduling and dispatching service activities• Maintain order filing system in complete digital order files• Coordination and processes return from customers and field service team to factory for defective goods / exchange parts under RMA• Ensure CPO is trigger and submitted in Service CRM• Ensure NPS are sent, open surveys are followed up and have adequate returns• Maintain the service tools register and scheduling of calibration for service tools• Highlight any problems, rectify and implement changes or checks necessary to prevent a re-occurrence, develop and implement changes under a process of continuous improvement• Ensure documentation is maintained according to ISO requirement• Ensure regular ISO audits are passed successfully**Demo Equipment Task:**• Coordinate shipment for system loan and prepare documents such as Bank Guarantee (If required), etc• Ensure demo system is returned on time
