PROJECT OVERVIEW:The Tourism for Ethnic Minority Women (T4EMW) initiative under GREAT 2 aims to empower ethnic minority women (EMW) by leveraging sustainable tourism development to address socio-economic challenges such as limited access to education, employment, and resources. Through a Market Systems Development (MSD) approach, the project focuses on piloting and scaling inclusive tourism interventions, including destination management, product development, and investment planning. The initiative collaborates closely with government, private sector, and community stakeholders across multiple pilot locations. POSITION OVERVIEW:The Project Administrator will provide critical operational, logistical, and administration support to efficiently deliver project milestones. This role combines high-level project administration with logistical expertise, requiring exceptional organizational, communication, and multitasking skills to manage activities, stakeholder engagement, and project data. The Project Administrator reports directly to the Project Manager (PM). RESPONSIBILITIES1. Project Coordination and Administration· Support PM day-to-day project activities to ensure alignment with project timelines and objectives.· Organize project documentation, including work plans, progress reports, schedules, and meeting notes.· Support the Team Leader as a central point of communication for coordinating with stakeholders, including government agencies, private sector partners, and community representatives.· Provide administrative support for meetings, workshops, training sessions, and field visits.2. Stakeholder Engagement and Support· Facilitate information flow and ensure effective communication between project stakeholders at all levels.· Assist logistics for stakeholder consultations, surveys, and field visits, ensuring materials, venues, and resources are ready.· Support the expert team in managing relationships with partners and addressing administrative or logistical concerns.3. Logistics and Event Management· Assist with travel arrangements, including transportation, accommodation, and itineraries for project teams and stakeholders.· Plan and oversee logistical arrangements for workshops, consultations, and project events, ensuring smooth operations.· Manage on-site field trip and event logistics, including equipment, supplies, and troubleshooting challenges.4. Data Collection and Reporting· Assist in collecting, organizing, and analyzing project data to track progress and inform decision-making.· Assist with donor budget and reporting requirements, program standards, and organizational policies.5. Stakeholder Consultation and Survey Coordination· Coordinate logistics and scheduling for stakeholder consultations, surveys, and market research activities as requested by the expert team.· Ensure materials, resources, and venues are ready for consultation or survey activities.· Track progress and compile data from stakeholder engagement and survey activities for the expert team.

Essential:· Experience in project administration, logistics, and coordination for international development or tourism-related projects.· Strong organizational and multitasking skills, with the ability to manage complex, multi-stakeholder environments.· Excellent communication and interpersonal skills for liaising with diverse stakeholders.· Bachelor's degree in Business Administration, Project Management, Tourism, Logistics, or a related field.Desirable:· Experience with tourism-focused development projects and Market Systems Development (MSD) approaches.· Familiarity with international development organizations (e.g., GIZ, ADB, UN agencies).· Prior experience with private-sector tourism consulting firms is an advantage.· Advanced proficiency in logistical management tools and project management software.
