The Administrative Assistant in the Marketing Department provides vital support by handling administrative tasks, coordinating marketing projects, and ensuring smooth operations within the department. This role involves managing schedules, preparing reports, assisting with marketing campaigns, and maintaining efficient communication with both internal teams and external partners.
Duties may include but are not limited to:
- Provide general administrative support to the marketing team, including managing schedules, setting up meetings, and handling correspondence.
- Assist in coordinating marketing campaigns, promotions, and events by managing logistics, timelines, and materials.
- Prepare and maintain reports, presentations, and documents related to marketing activities and performance.
- Handle internal and external communications, including responding to inquiries, forwarding relevant information, and following up on tasks.
- Manage departmental files and records, ensuring they are organized and up to date.
- Track marketing budgets and expenses, assisting with financial reporting and invoice processing.
- Support the marketing team in managing social media accounts, content schedules, and marketing materials.
- Collaborate with other departments, such as Business Development and Sales, to align on marketing strategies and ensure smooth execution.
- Assist in preparing for marketing meetings, including creating agendas, taking minutes, and distributing follow-up notes.
- Maintain inventory of marketing materials and handle orders for promotional items, ensuring timely restocking.
- Assist with special projects and other duties as assigned by the Marketing Manager or Head of Marketing.

QUALIFICATIONS INCLUDE THE FOLLOWING:
- Diploma or bachelor’s degree in Business Administration, Marketing, or a related field.
- 1-3 years of experience in an administrative or support role, preferably in marketing or a related field.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with marketing tools such as social media platforms or CRM systems.
- Ability to work independently and collaboratively in a team environment.
- Strong time management skills and the ability to prioritize tasks effectively.
- Professional demeanor with strong customer service orientation.
