FINANCIAL
1. To assist in preparation of the departmental annual budget
2. To ensure that the Department’s Operational Budget is in line and costs are strictly controlled
ADMINISTRATIVE
3. Ensure that all Front Office staff perform duties in accordance with hotel policy
4. Participate in all staff and training meetings as directed by the Front Office Manager
OPERATIONAL
5. Directs and controls all subordinate Front Office staff to ensure that day-to-day operational matters are handled on time and guest expectations are met
6. Provides guidance and assistance to Front Office supervisory staff, helping them in the execution of their responsibilities and helping them to set their own goals and objectives
7. Oversee the service standards in all Front Office areas ensuring that they conform to the requisite standards and meet or exceed customer expectations
8. To always ensure a speedy telephone and message service at the Front Desk
9. Ensure hotel facilities and services are promoted to guests and visitors
10. To ensure maximum sales for in-house facilities by continuously promoting them upon inquiries
11. Handles guest requests and immediately assists with problems and complaints to create guest satisfaction
12. Interacts with guests actively soliciting feedback
13. Registers any guest or staff problems or complaints shift record for the attention of the Front Office Manager
14. Assists in the preparation of duty rosters, vacation planning and scheduling and public holiday scheduling
15. Assists in the preparation of the hotel’s annual budget and helps to maximize the yield of the hotel and control departmental expenses
16. Conducts frequent front and back of house checks ensuring mise-en-place, service procedures, standards of cleanliness and hygiene, repair and maintenance, employee grooming, and manning levels are in order and takes appropriate action where necessary
17. Assists in the maintenance of efficient administration preparing and submitting reports on time as directed
18. Assists in the selection, training and evaluation of subordinate employees
19. Coaches, counsels, disciplines and develops subordinate employees
20. Acts as a liaison between the Front Office Manager and Front Office supervisory staff appraising him/her of the situation and updating him/her on issues of importance
21. Maintain an awareness of hotel emergency procedures relating to fire, theft, accident, medical emergency and other threats to hotel and guest security
22. Help guests in all hotel emergency evacuation and medical procedures
23. Ensures high standards of personal appearance and hygiene, correct uniform and badge as outlined in the staff handbook for all Front Office staff under supervision
24. Reports any potential health or safety hazards promptly to the Front Office Manager
25. Performs other duties as may be requested by the Front Office Manager
ASSOCIATE HANDLING
26. To ensure that all associates report for duty punctually, always wearing the correct uniform and nametag
27. To assist in the building of an efficient team by taking an active interest in the associates’ welfare, safety, training and development
28. To ensure that all associates have a complete understanding of, and adhere to, the hotel’s policies and procedures
29. To conduct training courses for new associates; to prepare and conduct regular monthly departmental training under the guidance of the Training Department and to issue monthly training schedules and guidelines
30. To assist in conducting evaluations for all Front Office associates to review their general performance, discuss existing performance and areas of improvements
31. To assist in preparing an annual vacation and public holidays plan for staff to ensure that the maximum days are taken during the slack periods
ADMINISTRATION
32. To ensure that all departmental reports and correspondence are completed punctually and accurately
33. To ensure that all associates’ schedules are properly established
34. To ensure that the guest history record is up to date at all times
