I. Receptionist
- Handle incoming / outgoing mail of all Departments in a company.
- Receive and transfer telephone calls in a company.
- Welcome and guide guests when they go to company.
II. Office Administration
- Track and make payments the costs of buying office equipment, stationery, Electricity, water, internet, telecommunications, … and make sure payments are always on time.
- Manage and monitor assets, office equipment and tools.
- Telephone, photocopier, printer, fax, scanner, projector…
- Make plan, implement and supervise the periodic and unexpected maintenance, repairing to ensure good operation conditions.
- Manage, track, arrange and assign work to Admin teams: security, cleaning, driver, .... to ensure the office is always neat and clean and run smoothly.
- - Coordinate with related departments/key persons for improving 5S, company policies/regulation.Randomly check inside vehicle to ensure of clean, all safety tags are available.
- - Perform all relevant procedure for foreigners: make visa, work permit, temporary residence card
- Make travel arrangements, including booking flights, transportation, hotel and restaurant reservations for employees, partners, experts of the company.
- Search, select and recommend flowers, gifts, birthday cakes to give to employees and customers.
- Participate actively in planning and execution of company events including in-house or off-site activities, like parties, celebrations, conferences, company trip, end-year party, health check-up.
- Implement and monitor service contracts related Admin Job.
- Prepare monthly expense reports related to administration tasks.
- Ad-hoc jobs required by Admin & HR Manager.
Yêu Cầu Công Việc
- College or bachelor’s in relevant field
- At least 3 - 5 year working experience in Admin position, has worked in pharmaceutical industry is preferred.
- Experience in supplier management.
- Good working attitude as truthful, honest, hardworking, patience, high labor discipline.
- Good attitude, communication, responsibility, planning, customer services.
- Ability to think logically and flexible for unexpected situations.
- Can work independently or teamwork.
- Excellent English skill
- Proficiency in MS Office: Word, Excel, Power Point.
