Responds to communications from guests, travel agents, and referral networks concerning reservations arriving by mail, telephone, telex, cable, fax, or through a central reservation system. Creates and maintains reservation records-usually by date of arrival and alphabetical listing prepares letters of confirmation and promptly processes any cancellations and modifications.
I. Receive and process reservations
• Receive and processes reservations by mail, telephone, or other means of communications
• Processes reservations from the sales section, other hotel departments, and travel agents.
• Prepares letters of confirmation case by case as requested
• Knows the type of rooms available as well as their location and layout.
• Knows the selling status, rates, and benefits of all packages plans.
• Knows the credit policy of the hotel and how to code each reservation.
• Creates and maintains reservation records by date of arrival and alphabetical listing.
• Arranging room following the reservations while maximizing operations
• Communicates reservation information, special request to the front office
• Processes cancellations and modifications and promptly relays this information to the front office.
• Processes advance deposits on reservations.
• Tracks future room availabilities on the basis of reservations.
II. Communicate with guest from pre-arrival till post stay
• Answer guest inquiries on multiple selling channels, ensure all requests are replied within 48 hours
• Prepares expected arrival list for front office use including arrival time
• Assists in preregistration activities when appropriate.
• Communicate and stay in touch with guest to introduce hotel’s service since pre-arrival time
• Monitors advances deposit requirements.
• Tracks future room availability on the basis of reservations, and helps develop forecasts for room revenue and occupancy. Update forecast and occupancy daily to Managers
• To be aware of all front office procedures and assist with reception duties when required.
• Promotes goodwill by beings courteous, friendly, and helpful to guests, mangers, and fellow employees.
Yêu Cầu Công Việc
- Vocational school graduation preferably in hotel management
- 01 - 03 years experience in hospitality, preferably in Reservation, Front Office or Sales
- Willingness and ability to work independently and as part of a team.
- Able to work under pressure.
