Department support
- The Assistant to Director of Sales & Marketing performs her duties within the framework defined by the chain and hotel norms and by internal regulations as supervised by the Director of Sales & Marketing.
- Ensure smooth running operation of the Division’s administrative functions.
- Co-operate with all departments for smooth running operation.
Administration
- Assist the Director of Sales and Marketing in organizing the filing system of the Division.
- Assist the Director of Sales and Marketing in submitting reports to Accor HQ on monthly basis.
- Ensure that the stock of stationery items are accounted for and well maintained.
- Organize the recording system for all in-coming and outgoing correspondences.
- Handle all typing work required.
- Assist in the dispatch and collection of correspondence in hotel.
- Take minutes of sales meetings.
- Ensure the cleanliness of the office.
- Handle all incoming telephone calls and take messages and follow up.
- Prepares & check all incoming communication message such as facsimile and email messages.
- Assist in the packing of materials when required, eg. Hotel brochures, sales kits etc.
- Issuing on a monthly basis for a further details and status of residential meeting groups to sales persons, so that if confirmed correct information to be re-entered, if cancelled such space can be released.
- Update production reports of Corporate & Travel Agents monthly, quarterly and yearly.
- Assist the Director of Sales and Marketing in issuing Travel Agents Contract Rates, questionnaire as requested.
- Ensures that all complaints are reviewed and investigated by Director of Sales & Marketing and follow-up action is initiated by Sales persons.
- Closely co-ordinate with Accor HQ in order to submit all require correspondent.
- Organize the recording system for all in-coming and outgoing correspondences as well as incoming telephone calls.
Commercial
- Keeps himself/herself well informed about the operations especially in key departments (Front Office, Housekeeping, F&B, Banqueting etc.)
- Sets, in conjunction with the Director of Sales & Marketing and Sales Manager, currents rates as charged by the hotel.
- Closely observes matters pertaining to competition (sites, prices, services offered on a regular basis – quarterly or more often if need to be).
- Promotes the hotel as often as possible through entertaining, conduction, site inspections, presentation etc., of the hotel.
- Be updated with hotel promotion, information related.
- Able to welcome all guests at the hotel/department upon arrival and provide basic information as and when required.
- Able to handle sales enquiries (hotel brochures, slides, sales kits and give away).
- Keep him/her well informed about the product (lodging, catering and other facilities).
- To pays a visits to potential accounts in view of entering into contracts with them, especially commercial accounts.

Knowledge and Experience
• Diploma in Tourism / Hospitality Management or other related field
• Knowledge of Microsoft Programs
• Proficiency in Korean & English communication
• Typewriting both Korean & English language
• Familiarity and knowledge of all departments within the hotel
• Secretary or administrative assistant experience
