What’s the job?
To lead and build the Meetings & Events department, implement and enhance all event processes and rollout best practices across event delivery. Accurately forecast & budget meeting & events revenue, promote a positive and productive work environment, form part of the Sales & Events team that delivers results and is highly engaged.
As Event Manager, you’ll make sure all our client meetings and events run smoothly - acting as both brand ambassador and trusted partner – you’ll connect internal teams to deliver a seamless experience for planners, hosts and meeting attendees.
Your day-to-day
Financial
• Take full ownership of contracted events, incentives, conferences, dinners, exhibitions and functions, interact with all key stakeholders, clients, guests, vendors, and internal departments
• Ensure the client experience is smooth, successful, memorable and act as the brand ambassador and key contact throughout their journey
• Arrange agreed details of meeting / event e.g. room set-ups, staging, lighting
• Conduct banquet and catering facility tours and entertain clients to enhance the guests’ meeting/banquet experience
• Raise the awareness and reputation of your hotel and the brand locally
• Ensure guest safety is a priority with minimal interruptions or problems
• Forecast & Budget department revenue with ADOSM
• Build long term relationship with planners and hosts to increase loyalty to the brand
• At pre-event planning stage consult with meeting planners to optimise all elements of the meeting / event including space, meeting/break flow, menu and design etc. to improve meeting efficiency
• Conduct pre-event and post-event meetings with clients and catering colleagues to identify improvements to the guest experience
• Meet with each meeting planner daily to debrief on daily events, review consumption, bill and any exceptions to contracted billing and review estimates of final billing
• Welcome the group and conduct the 60’ meeting brief prior the start of the event
• Drive a great working environment for teams to thrive – Linking up departments to create sense of one team
• Direct everyday activity, plan and assign work ensuring a balance within the team
• Train colleagues to make sure they deliver with compliance and to the standards we expect
• Complete forecasts, plans, and productivity reports and help prepare the departmental budget and financial plans
• Monitor hotel spend and always look for opportunities to optimise sales whilst minimising waste
• Negotiate and upsell within booking guidelines
• Analyse and action against client satisfaction surveys to improve services
• Other ad-hoc duties – Unexpected moments when we have to pull together to get a task done
Guest Experience
• Support sales initiatives with site inspections, client entertainment, familiarisations, tradeshows and other events that form part of the sales and marketing plan.
• Develop and maintain contact with key decision makers and influencers, travel planners, travel consultants, group departments, destination management companies, and other producers closely aligned to assigned market segments and the industry.
• Develop and maintain strong relations with stakeholders whose support, cooperation, and services are critical to success.
• Communicate client requirements and other relevant information to all departments to ensure their expectations are exceeded.
• Ensure that all stakeholders are made aware of systems, procedures, and information relating to the delivery of all revenue from assigned market segments.
• Act as a trusted business advisor and champion by clients; ensure that commitments are met and value is delivered.

What we need from you
• Experience – 3+ years’ experience in a catering setting or related field; direct supervisory experience over a sales/ catering team, or an equivalent combination of education and work experience.
• Comprehension of Hotel systems and revenue management principles.
• Proactive approach to developing and maintaining strong relations with clients and stakeholders including customers’ senior management.
• In-depth knowledge of event principles and techniques.
• Keep abreast of changes and assess trends in market conditions and consumer buying behaviour to create strategies that drive business opportunities
• Strategic and tactical thinker – ability to develop strategic sales plans, establish goals and objectives, set performance targets and deliver projects on time
• Strong presentation, commercial and communication skills
• Strong influencer and persuader
