- Develops a strong knowledge of the hotel's facilities and services and of the surrounding community.
- Provides guests with information about attractions, facilities, services, and activities in or outside the property.
- Makes guest reservations for air or other forms of transportation when requested.
- Obtains necessary itinerary tickets.
- Makes guest reservations for the theatre and other forms of entertainment when requested. Obtains necessary tickets and provides directions to facilities.
- Organizes special functions as directed by management.
- Arranges secretarial and other office services.
- To ensure a proper use of the telephone etiquette standards.
- To oversee the concierge operations, doormen, bellmen, valet parking and to supervise the area ensuring that all standards and procedures are fully known and followed.
- To ensure that all necessary equipment is maintained properly with enough stock for day to day operations.
- To ensure that all sections always have proper coverage of staff.
- To ensure that guest luggage records are accurately maintained, and all special requests are met.
- Process and deliver messages for Guests.
- Deliver and safely storage Guest luggage.
- Stay current and up to date with all hotel services as well as daily VIP requests and special events.
- Understand and assist the process for check in and check out
- Ensures that guest history records are accurately maintained, and all repeat guests are pre-registered.
- Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to.
- Logs daily events in Handover Log and follow-up on information reported by the other butlers daily.
- Ensure that guest profile records are accurately maintained including recording of all guests’ complaints and incidents.
- Prepare daily report for Front Office Manager and Executive Housekeeper to review regarding guest’s preferences, movement and comments
- Ensures all feedback from either the guests or other departments are directed to the respective department or highlighted to the higher Management in the case of emergency.
- Is familiar with the hotel’s products, services, policies, functions and promotions.
- Ensures smooth and efficient communication and co-ordination with all departments specially Butlers, Front Desk, Housekeeping, Maintenance, Guest Services and Security.
- Ensures that daily arrivals for respective floors are prepared with the appropriate welcome card and other amenities. Coordinates with Housekeeping Team to ensure that all rooms are provided with day service and turn down is completed in a satisfactory and timely manner. Any special request from guests should be communicated to Housekeeping Supervisor.
- Works closely with the Laundry/Dry Cleaning Team and Room Service to ensure timely delivery of guest requested items.
- Ensure presence during arrival of guest to help such as unpacking and laundry service.
- When required, meet and escort guests to their rooms, explaining all in house and room facilities.
- Be prepared to provide concierge assistance when required
- Directs guests and visitors to any of the Hotel’s facilities.
- Issues and keeps record of master keys in accordance to Policies and Procedures
- Prepares and issues Room Status Report.
- Ensures that assigned rooms are inspected and are fully ready for the arrivals of the day. Liaises closely with the Front Office regarding guestroom status.
- Inspects all VIP and long-stay guest rooms (arrival and in-house).
- Handles the requirements of all suite room occupants and all guests’ special requests.
- Ensures the cleanliness and tidiness of work areas and corridors
- Understands and strictly adheres to Rules and Regulations established in the Associate Handbook and the hotel's policies concerning fire, hygiene, health and safety.
- Attends training sessions and meetings as and when required.
- Carries out any other reasonable duties and responsibilities as assigned.
- Ensure orderliness and safety guidelines around the lobby and front door areas.
- Provide support to Management as required, in cases of emergency.
- Project a professional manner with an emphasis on hospitality and Guest service.
- Maintain a clean, healthy, and safety working area.
- Coordinates guest requests for special services or equipment with the appropriate department.
- Contacts roomed guests periodically to ascertain any special needs.
- Handles guest complaints and solve problem to the degree possible.
- Attends training sessions and meetings as and when required.
- Carries out any other reasonable duties and responsibilities as assigned.
- Responds to requests to undertake any reasonable tasks and secondary duties and to changes as dictated by the hotel, industry and company.
