- Provides administrative support to Division Head and ensures the implementation of hotel policies, standards, and procedures as they apply to the administrative functions
- Reads and routes incoming mail.
- Locates and attaches appropriate file correspondence to be answered by Division Head.
- Types, files, and upkeeps of all private and confidential matters related to the department.
- Sets up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensures all files are kept up-to-date at all times
- Prepares the relevant materials for all meetings attended by the Division Head: Daily Operations Meeting, Executive Committee Meetings, Departmental Meetings and ad hoc meetings.
- Answers telephone and give information to callers or routes call to appropriate official and places outgoing calls.
- Greets visitors, ascertains nature of business, and conducts visitors to appropriate employee.
- Compiles and types statistical reports.
- Types, takes dictation and minutes, drafts letters, files and trace correspondences.
- Attends and prepares minutes for Division’s employee meetings.
- Monitors and maintains the proper cleanliness and appearance of the Division’s office area.
- Ensure all files are kept up to date at all time.
- Maintains timekeeping records and schedules for department.
- Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.
- Supports the implementation of the People Brand, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.
- Works closely with other employees in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.
- Works in a supportive and flexible manner with other departments, in a spirit of “We work through Teams”.
- Is knowledgeable in statutory legislation in employee and industrial relations.
- Exercises responsible behaviour at all times and positively representing the hotel and Hyatt International.
- Responds to changes in the Engineering function as dictated by the industry, company and hotel
- Carries out any other reasonable duties and responsibilities as assigned.

• Strong organizational and time management skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Basic understanding of technical terms or engineering documents is an advantage.
