1. Administrative Support:
• Manage the schedules, meetings, and travel arrangements of the GM and HM.
• Prepare and organize reports, presentations, and correspondence for executive meetings.
• Handle confidential information with discretion and professionalism.
• Maintain and update important hotel documents, contracts, and records.
• Draft and distribute memos, emails, and meeting agendas.
2. Communication & Coordination:
• Act as the first point of contact for internal and external stakeholders.
• Screen calls, emails, and requests, prioritizing important matters.
• Coordinate and communicate corporate directives and ensure follow-ups.
• Liaise with department heads to track operational progress and provide status updates to executives.
3. Daily Briefing & Task Follow-up:
• Attend morning executive and operational briefings with the GM, HM, and department heads.
• Take note of key action points and assist in ensuring that tasks are executed efficiently.
• Follow up with department heads on critical operational tasks assigned during the morning briefing.
• Monitor task completion and provide updates to the GM and HM.
4. Meeting & Event Management:
• Organize executive meetings, owner meetings, and department head briefings.
• Take and distribute meeting minutes, ensuring follow-up on key action points.
• Assist in the preparation of boardroom presentations and reports.
5. Reporting & Analysis:
• Compile hotel performance reports, revenue updates, and operational statistics for executive review.
• Assist in preparing budget-related documents and expense tracking for the Executive Office.
• Coordinate reports required for ownership or corporate stakeholders.
6. Guest & VIP Relations:
• Support the GM/HM in handling VIP guests and owners, ensuring their requirements are met.
• Assist in organizing special events, guest welcome programs, and owner visits.
• Maintain a database of key contacts, including VIPs, owners, corporate executives, and government officials.
7. Office & Project Management:
• Ensure the Executive Office operates efficiently, maintaining supplies and organization.
• Support project management for strategic initiatives set by the GM/HM.
• Assist in coordinating hotel audits, compliance documentation, and policy updates.
Yêu Cầu Công Việc
• Education: Bachelor’s degree in Hospitality, Business Administration, or related field (preferred).
• Skills
o Excellent organizational and multitasking skills.
o Strong written and verbal communication skills.
o Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
o Ability to handle confidential information with discretion.
o Strong interpersonal skills for guest and stakeholder interactions.
• Languages: Proficiency in English (additional languages are a plus).
• Attributes:
o Professional, proactive, and detail-oriented.
o Ability to work under pressure and meet deadlines.
o Strong problem-solving and decision-making skills.
- Based in the Executive Office of the hotel/resort.
• May require flexibility in working hours, including occasional weekends or holidays for events and key meetings.
