The Reservation Agent is responsible for handling the communications from guests, travel agents, and referral networks concerning reservations arriving by mail, telephone, telex, cable, fax, or through a central reservation system, reservation hotline. This role needs to create and maintain reservation records, preparing letters of confirmation and promptly processing any cancellations and modifications, handling guest message via online channels platforms and social media. This position’s responsibility additionally includes preparing the list of expected arrivals for the Rooms department, assisting in preregistration activities when appropriate, and processing advance reservation deposits.
This position works from 10:00AM – 7:30PM (Mon-Fri) | 8:30AM – 6:00PM (Sat-Sun).
The Reservation Agent reports directly to the Reservation Supervisor and works closely with other team members in Sales and Marketing department.

• Running daily reports for relevant departments
• Answering general reservations e-mail, retrieving and distributing mail and processing brochure requests
• Handling guest inquiries/message via online travel agents, social media at earliest time.
• Handling guest complaints about all the aspects of reservation process in accordance with Wink standard
• Proceeding the confirmation and/or guarantee non-guaranteed reservations, clearing waitlisted reservations
• Running appropriate reports checking for special requests and hard blocking any rooms that are not hard blocked for special requests, informing related parties of any special attention and special requests from the guests for better arrangement
• Contacting guests or travel planners to clarify any discrepancies in the preferences or requests before guests’ arrival
• Processing employee comp requests, handle friends & family requests with guidance from Director of Sales and Marketing
• Complying with Wink Hotels standards for sales and marketing, while working harmoniously and professionally with other team members
• Understanding, continuing update and compliance of the relevant policies, procedures and service delivery standards of this position
• Understanding, continuing update and compliance of human resources policies, procedures and code of discipline; while promoting management, team and cross department support, professionalism and good relations
• Performing other related duties and functions assigned by the Reservation Supervisor
