Public Affairs administration: 1. Execute overall administration for PA department:• Assist PA with day-to-day administration work (meeting arrangements, travel arrangements for business trips or departmental events & activities, documentation, budget tracking, presentation, reports, meeting minutes etc.)• Support for Head of PA in arrangement of meeting agenda for internal and external stakeholders, and other tasks assigned by Head of PA (documentation, filing, expense report & payment, Facebook interaction, CSR events, Awards/Merit events, etc.)2. Execute administration for Media relations/External & Internal communications:• Assist PA team in preparing materials for external stakeholders• Update and manage contract master list• Monitor and report to Excom & BOM about the daily media clippings and monthly department report for internal related teams.• Coordinate and assist PA team with event execution (launching events, trade conferences, company’s events, CSR events/ programs and other sponsorships, etc.) such as: - Work & follow up with vendor for admin event organization - Dealing with agencies and vendors (seeking quotations, quality assurance, payment, progress checking, etc…)3. Support for Corporate Affairs Administration in meeting licenses registration with MOH in Hanoi:• Submit the products' registration and advertising documents to One-Gate Department of MOH in Hanoi• Submit the MLM documents to One-Gate Department of VCC (MOIT)• Other meeting licensing activities as requiredHanoi Office administration: 1. Execute Hanoi office administration:• Work with internal ACE teams and external vendors to manage office maintenance, office facilities / equipment, and office supplies & stationery to ensure office infrastructure/ facilities/equipment in good condition and clean working environment.2. Support for other HR events & employee wellbeing & culture engagement activities implementation in Hanoi:• Coordinate and assist HR team to organize & implement HR events, HR training, and other employee wellbeing & culture engagement campaign/ programs such as staff meeting, staff outing, year-end party, employee training, health community programs, Value activation, etc.• Coordinate and assist HR team to arrange interviewing meetings and newcomers on boarding logistics in Hanoi• Coordinate and assist HR team to implement employee benefits and time attendance in Hanoi office such as set up attendance fingerprint, register for employee parking, manage time attendance tracking & report, provide PV products entitlement/ product gifts to staff, manage taxi claim report, etc…3.
