Commercial Executive - Nhân viên Thương mại

• Providing administrative assistance, such as taking minutes from internal meetings and ensuring proper follow-up to the relevant participants.

• Responsible for ordering department stationaries.

• Support Commercial Team with conducting site inspections or support to any internal/external events when required.

• Support DOSR in contracted administration such as delivering, getting signed and stored for the record.

• Maintaining comprehensive and accurate records for hotel communication.

• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.

• Answering phone calls in a polite and professional manner.

• Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate departments.

• To maintain the strictest confidentiality on all matters relating to the Owner and the Hotel’s information.

• To provide full secretarial assistance - preparation of general correspondence, handling telephone calls, organizing appointments, and supporting the Commercial teams on daily minor activities.

• Provide accurate translation of commercial related materials when needed.

• To liaise with commercial leaders in Sales & Reservation, Revenue Management and Communication department to ensure deadlines, and reports are submitted in a timely manner.

• To co-ordinate travel arrangements for the Commercial team as needed.

• To manage and execute special projects assigned to you by the DOSR and CD.

• To support the Revenue Executive on competitor checks when required.

• To support the Executive Assistant in manage the Wafaifo Resort Hoi An’s sustainability program.

• To set up a systematic and efficient filling system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are always kept up to date.
