The IT Project Management Office (PMO) Associate supports the Vietnam IT Team in delivering value by guiding Demand Drivers (DDs) and Project Managers (PMs) in updating their monthly status reports, Demand/Project Portal updates, time portal as well as Internal Audit (IA) Portal.The role involves timely management of Vietnam IT Teams’ timesheet submission, monthly resource reporting, routine PMO meeting slides, and minute reviews, as well as maintaining up-to-date Vietnam IT organization structures, email distribution lists and promptly notifying Group IT of any recent changes.It also supports Policy, Standard and Architecture (PSA) socialisation, feedback collection, and key document publishing, versioning, and a matrix for superseding local PSAs.JOB DESCRIPTIONS AND COVERAGE1. Demand, Projects and Internal Audit Findings Management1 Collaborate with Vietnam IT Team to support Demand Drivers and Project Managers in:Updating the Demand/Project Portal to accurately reflect the demand and project status.Preparing and submitting bi-weekly updates in a timely manner.Facilitating quarterly demand and project reconciliation to ensure orphaned demands and projects are reassigned. 1.2 Monitor Internal Audit findings and collaborate with Project Managers/Application Maintenance Leads to address and resolve IA findings promptly.2. Resource Utilization and Productivity ReportingRemind IT team members to submit their time sheets in a timely manner. Support the Vietnam IT Head in preparing monthly resource utilisation reports.Maintain Vietnam’s IT Team’s organisation structures and email distribution lists in a timely manner, and and promptly notify Group IT PMO Team of any recent changes.3. Routine Country PMO MeetingSupport the Vietnam IT Managers in preparing monthly/bi-monthly PMO meeting slides by providing necessary guidance, resources, and reviews prior to the meeting.Ensure matters arising from previous meetings are addressed in the upcoming meeting.Ensure meeting minutes are accurately documented and distributed to all attendees within the agreed deadline.Confirm that meeting slides and minutes are properly uploaded to Teams for future reference.Verify that the latest organisational structures presented during meetings are uploaded to the PMO Org Chart repository.4. Policy, Standard, and Architecture (PSA) MaintenanceSupport the Vietnam IT Manager in:Facilitation of PSA socialisation, training and adoption.Collecting feedback from Internal Audit and global IT Teams to relay to PSA Custodians for PSA revisions.Maintaining the PSA inventory by managing publishing, versioning, and creating a matrix to identify which local PSAs will supersede Group IT PSAs.
