Receptionist tasks
o Answering and transferring all incoming calls properly and relevant person (in English & Vietnamese);
o Receiving and welcoming guests & visitors; providing professional, polite & sincere reception to the visitors;
o Keep the reception area and shared area clean & neat;
o Supervise Cleaner Job to ensure all tasks done and office area cleanliness;
o Supporting Preparing office party;
o Supporting other departments and other task as require from BOD;
o Make sure reception counter available during working time 9am - 6pm including lunch time.
Admin tasks
- Be a key contact for all related Admin
- Make sure reception counter available during working time 8am - 6pm including lunch time
- Manage Admin, Tea Lady & Security; Evaluate work of Admin team; Provide necessary training, guidance and motivation to team member
- Supervise and coordinate the daily activities and operations of the office
- Schedule and prioritize office activities to meet requirements
- Building Admin Policies & Procedure. Analyze work flow issues and implement workable solutions
- Admin expense management, Budgeting, Annual Forecasting & Monthly Report, E-App approval
- Supervise the efficient use of office supplies, plan and organize the purchase of office supplies in accordance with purchasing policies and budgets
- Handling taxi cards and taxi expense reports;
- Order stationary for office, warehouse and whisky boutique, stationary, sale sheet , paper bags and place orders when necessary;
- Order drinking water; Manage pantry stock/ toiletry; Manage sales sheet;
- Purchase & manage office facilities/services/equipment (USB, HDMI cable, …);
- Work with maintenance team to ensure all equipment, machines, air con in office work well, office clean and professional;
- Replace ink toner/ fix printers;
- Handling all incoming and out-going mails/ correspondences, couriers (both domestic and international);
- Arrange flowers for office and for customer's events;
- Make payment request for all related tasks;
- Work with IT Service for all IT related matters
- In coordinating with HR team to Organize company party, Year End, Company outing
- Manage office wines stock
- Prepare FOC reports and collect documents

- At least 3 years ex at the same position
- Good writing & communication in both English and Vietnamese
- Smart problem solving.
- High adaptable & flexible ability.
- Customer-oriented, detailed-oriented.
- Experience in training, KPI, internal communication, company event
