- Performs administrative skills such as typing, filing, copying and answering telephones according to the hotel standards.
- Directly assists the Food & Beverage Manager in all administrative duties, phone call, correspondence and scheduling.
- Works harmoniously and professionally with co-workers and supervisors.
- Completes all administrative tasks and paperwork with proper signature and approvals.
- Takes charge of the filing system at the F&B office and keeps all the files in a good system.
- Maintains and updates all computer records.
- Maintains confidentiality of information in the department including conversations, personal information.
- Maintains a clean, neat and organized work area at all times.
- Be responsible for checking daily attendance records, annual leave, medical leave and submitting record sheets to Personnel Department, weekly duty roster.
- Orders and requisites all stationary used by the F&B Office and other outlets, maintain F&B Office in clean & proper order at all times, co-ordinate with Housekeeping attendant.
- Informs the F&B Manager regarding changes of functions sheets, and always double check with the Banquet Department for the accurate count of (pax) and venue time etc.
- Distributes and posts event orders to all relative outlet on time, signed by each section or outlet staff or manager, time received, name and date when issued
- Keeps a good communication with the Kitchen–Catering-Banquet & Stewarding department and work closely in order to reach a good coordination between all departments.
- Finds the ways to improve the efficiency of the operation which will benefit all departments, foster positive thinking and motivation within all Food & Beverage & kitchens outlets by giving active assistance and advice on more effective way of communicating when possible.
- Possesses a high level of professionalism and integrity while maintaining the confidentiality of the office.
- Responds properly in any hotel emergency or safety situation.
- Performs tasks as assigned by the hotel management and the superiors.
- Types reports, letters, memoranda, forms and correspondence for the Kitchens maintains files and Copies
- Opens, reads sorts and records incoming departmental mail: forwards to the Exec..Chef and to other personnel concerned
- Checks different kitchen sections and prepares daily absence, tardiness and overtime report, coordinating time schedules with the timekeeper and receives the weekly roster from each department concerned every Thursday by 1:00 PM for the following week.

- Order and requisite all stationary used by the Chef’s Office and kitchen sections, maintain Chef’s-Office in clean & proper order at all times, co-ordinate with Housekeeping attendant.
- Informs the Executive Chef regarding changes of functions sheets, and always double check with the Catering department for the accurate count of (pax) and venue time etc.
- Types and distribute Menus to all outlet kitchens signed by Exec. Chef before issuing to avoid any mistakes or wrong information.
- Distributes and posts function orders to all kitchens concerned on time, signed by each section or outlet Chef time received, name and date when issued
- To keep a fluent communication with the F&B–Catering-Banquet & Stewarding department and work closely in order to reach a good coordination between all departments.
- Checks daily market list from all outlets and submit on time to the purchasing department. Print and keep copy in the office as reference.
- Attendants daily briefings with Chefs, keeps record with minute’s & follow ups.
- Able to maintain confidentiality and treat all associates personnel effects accordingly
- Find ways to improve the efficiency of the operation which will benefit all departments, foster positive thinking and motivation within all Food & Beverage & kitchens outlets by giving active assistance and advise on more effective way of communicating when possible.
- To carry out and complete duties and tasks as assigned by the supervisor.
Yêu Cầu Công Việc
- College Degree or above
- English - Good level, written & spoken
- At least 2 years in the hospitality industry in a similar position in a 5 star, deluxe hotel.
