A. PURPOSE OF THE ROLE To successfully drive student enrollment by: • Managing and optimizing the end-to-end admissions pipeline. • Delivering a high-quality, customer-centric admissions experience. • Supporting enrollment-related marketing and engagement initiatives. • Collaborating with internal teams and external partners to achieve enrollment targets. B. KEY RESPONSIBILITIES 1. Strategic Planning • Co-develop and implement strategic admissions plans aligned with enrollment goals and school positioning. • Conduct ongoing market research and competitor analysis to inform planning and outreach. • Define and track key performance indicators (KPIs) for lead generation, conversion, and enrollment. 2. Admissions Operations • Lead and manage the admissions cycle from inquiry through to enrollment and onboarding. • Respond to inquiries in a timely, professional, and informative manner. • Build relationships with prospective families, guiding them through each stage of the process. • Coordinate school visits, tours, trial classes, assessments, and interview schedules. • Monitor and report application and enrollment trends, recommending actions as needed. • Train and supervise the admissions team to ensure excellent customer service and operational efficiency. • Collaborate with external vendors, agencies, and partners to achieve admissions goals. 3. Parent Communication & Early Engagement • Act as the contact point for prospective families, ensuring consistent and supportive communication. • Provide a seamless handover to the pastoral and academic teams after post-enrolment. • Support welcome and orientation events to facilitate early parent engagement and integration into the school community. 4. Events & Representation • Represent the school at admissions events, open houses, exhibitions, and education fairs. • Coordinate and deliver high-impact admissions and promotional events, in collaboration with the marketing team. 5. Data & Reporting • Maintain accurate and up-to-date records of all inquiries, applications, and enrollments using the school’s CRM system. • Manage the admissions CRM platform, ensuring data integrity, regular updates, and smooth system usage by the admissions team. • Generate and analyze CRM-based reports to track pipeline performance, conversion rates, and engagement trends. • Use data insights from the CRM to inform strategic decision-making and optimize admissions workflows. • Train and support team members on effective use of the CRM system and propose system enhancements as needed. • Ensure all data collection and usage complies with data protection regulations and school policies. • Prepare and present regular reports on admissions trends, progress against targets, and forecasted enrollments to school leadership. 6. Budget Management • Develop and manage the admissions department’s annual budget, ensuring strategic allocation of resources. • Monitor expenditures and ensure cost-effectiveness across admissions activities and events. • Provide accurate, timely financial reporting related to admissions operations and support budget planning with relevant data.
