A Procurement Coordinator is responsible for managing the buying and delivery process of goods or services, logistic and warehouse management. This is a very high profile and responsible role within an organisation, requiring someone who is extremely organised and can cope well under pressure.
Key Responsibilities:
• Review, verify and approve departmental purchase requests. Review requisitions for completeness, accuracy, compliance with established policies and procedure.
• Process and distribute purchase orders electronically on a daily basis. Maintain purchasing files, including purchase order records.
• Assist with procuring goods and services, including collaborating with departments to assist when requisitions need additional documentation
• Transmits and prioritizes approved purchase orders and supporting documents to suppliers
• Tracks order acknowledgement, prepares and communicates shortage and backlog reports, and provides visibility of potential interruptions
• Work with logistic, retail and accounting teams for updates and information
• Tracks orders and confirm vendor lead times, delivery dates, and costs
• Reviews, updates, and maintains purchase orders until they are closed
• Ensures orders adhere to supplier agreements and contracts; reports non-conformance issues
• Assists logistics in resolving invoice discrepancies
• Solicits quotations, negotiate prices
• Resolves discrepancies and invoice problems
• Develops and maintains supplier lists
• Coordinate with freight forwarders and a client for optimal delivery
• Must be able to generate proper documentation for customs compliance
