Role DescriptionResponsible for the first point of contact for our customers. The role is responsible for accurate order processing, delivery coordination, customer communication, and system management to ensure smooth operations and on-time delivery. Maintaining strong customer relationships, handling inquiries, solving problems, and processing orders. They are essential for ensuring customer satisfaction and loyalty, directly impacting the company's success and reputation.• Order Handling: Accurately process sales orders by entering purchase orders into the database and provide timely order confirmations and updates to customers. Ensure soft commitment within 2 days and hard commitment within 3 days via CC360 and JDE systems until delivery. Monitor and ensure up to today accurate selling prices in Salesforce with contract prices (CP). • Delivery Process: Manage invoicing, draft invoice, and necessary supporting documents for customers. Handle document collection (POD, toxic form) from customers, manage outbound logistics, and coordinate with third-party logistics (3PL) providers and customers to ensure smooth delivery. • Order and Supply Overview: Regularly update customers/sales on order status, stock availability, and inbound shipment details in relation to promised delivery dates. Ensure communication with customers and sales teams to maintain a high service level and on-time-in-full (OTIF) delivery. • Responsiveness: Address and resolve customer issues related to service failures or concerns promptly. Ensure prompt communication with customers and sales teams, including outside working hours when necessary. • Customer Care: Maintain strong communication and relationships with customers, working closely with the commercial team. Proactively liaise with supporting departments to ensure smooth order processing, delivery, and proper checks and controls. • Non-Conformance Reporting (NCR): Initiate NCR and claim processes e • (if applicable) to ensure preventive and corrective actions are properly addressed and documented in the system. • Cross BU Support: Provide support for other departments as needed, including handling special requests, covering for colleagues during absences, and during vacancies. • System Management: Ensure all key data is entered into the system in a timely manner and fully utilize JDE and Sales froce system capabilities. A. Nghiệp vụ chứng từ xuất nhập khẩu
- Chuẩn bị bộ chứng từ xuất khẩu: Invoice, Packing List, Hợp đồng, C/O, B/L, tờ khai, chứng nhận kiểm dịch…
- Chuẩn bị bộ chứng từ nhập khẩu: Hợp đồng ngoại thương, Invoice, P/L, B/L, Arrival Notice, C/O, CQ…
- Liên hệ và làm việc với: Hải quan, hãng tàu, ngân hàng,….
- Theo dõi tiến độ giao hàng, cập nhật thông tin cho các bộ phận liên quan.
B. Thực hiện khai báo hải quan
- Thực hiện khai báo hải quan trên hệ thống (ECUS, VNACCS).
- Kiểm tra HS Code, thuế suất NK/XK, thuế VAT, ưu đãi thuế từ C/O.
- Xử lý các vấn đề phát sinh trong quá trình thông quan.
C. Hạch toán kế toán xuất nhập khẩu
- Hạch toán đầy đủ các nghiệp vụ liên quan:
- Hàng về kho
- Chi phí vận chuyển – logistics – local charges
- Chi phí thông quan / kiểm hóa
- Chênh lệch tỷ giá
- Công nợ phải thu / phải trả đối tác, nhà cung cấp
- Theo dõi và đối chiếu tài khoản kế toán
D. Quản lý hồ sơ & tuân thủ
- Lưu trữ khoa học bộ chứng từ XNK phục vụ nội bộ, thanh kiểm tra thuế – hải quan.
- Kiểm tra tính hợp lệ của chứng từ nhập khẩu để được khấu trừ thuế (nếu có).
- Đảm bảo tuân thủ quy định của: Hải quan, Bộ Công thương, Thương mại quốc tế, thuế…
E. Phối hợp với các bộ phận
- Làm việc với bộ phận mua hàng, kho, sản xuất về kế hoạch nhập – xuất hàng.
- Kết hợp với forwarder để tối ưu chi phí logistics.
- Hỗ trợ kế toán tổng hợp trong việc lập báo cáo.
G. Báo cáo
- Báo cáo tuần/tháng: tình trạng hàng XNK, chi phí nhập khẩu, công nợ Nhà cung cấp
- Báo cáo chênh lệch tỷ giá, phân tích chi phí logistics.
