General purpose of the job• Develop, implements, and maintains Quality Management System in WVN.• Ensure products or services meet established standards by conducting audits, analyzing data, and identifying areas for improvement.• Collaborate with teams to establish and enforce quality control measures and contribute to the continuous improvement of organizational processes.1. ResponsibilityThe holder of the position "QMS Specialist" is responsible for achieving the established goals related to QMS performance within their own scope of responsibility, as outlined in the tasks and authorities described below. The position holder is specifically accountable for acting as a role model for all employees in terms of Safety and Quality. Furthermore, the position holder is responsible for ensuring compliance with internal hygiene & safety regulations and quality guidelines (e.g., cleanliness, orderliness) as well as communicating and implementing internal and external frameworks (e.g., Code of Conduct, legal requirements, and changes) within their own area. In terms of expertise, the responsibility area of the "QMS Specialist" position includes ensuring and enhancing the implementation of normative requirements of international standard, corporate policy, and local requirement for QMS. To meet the requirements the QMS management system, the owner of this position need a deep knowledge about latest ISO standard 9001, 14001, 45001, FSC, PEFC, SMETA, local laws requirements to implement and ensure the effectiveness and efficiency of the system in the organization.2. Duties• Development, Implementation & Improvement QMS: Create, update, and implement QMS policy & procedures to align with ISO 9001, 14001, Corporate standards and regulatory requirements. Work towards achieving Certification in ISO 45001.• Compliance Monitor: Ensure staying up to date with changes in ISO standards, law & regulations and ensuring the organization's practices align with the requirement.• Audit and Assessment: Plan and lead internal audits, manage corrective actions, and ensure ongoing certification readiness. The set up of auditing process should follow PDCA cycle and include: o Plan: Make internal audit plan (defining the audit scope, objective, criteria, checklist, and schedule) strictly compliance to ISO standards. o Execute: Conducting the audit through interviews, document reviews, and observations. o Report: Documenting findings, including non-conformities, observations, and opportunities for improvement. o Follow up: Taking note, summarizing, conducting analysis & implementing corrective actions – preventive actions to make improvements or propose recommendations to enhance the effectiveness of management systems and verifying their effectiveness together with response colleagues.• Process Improvement: Identify and implement process improvements to enhance efficiency, effectiveness, and compliance with quality standards.• Training and Communication: Train staff on QMS policies and procedures, promoting quality awareness and ensure effective communication of quality-related information throughout the organization.• Documentation control: Act as Document controller to maintain the accuracy and effectiveness of records related to QMS. Manage and maintain all quality-related documentation, including standard operating procedures (SOPs) and work instructions, ensuring they are up-to-date and compliant.• Supplier Audit: Consult purchasing department in audit supplier’s activities. Participate or lead the audit activities when requested. Evaluate and check the compliance of suppliers and contractors to ensure they follow the organization's standards and requirements.• Continuous Improvement: Continuously assess and enhance quality processes, methodologies, and tools to drive efficiency and effectiveness. Conduct risk assessments using tools like FMEA and fault tree analysis to support continuous improvement initiatives.• Collaboration and Support: Collaborate with cross-functional teams to resolve compliance issues and optimize documented business processes as well as support process alignment across departments.• Performance Metrics: Set up key performance indicators (KPIs) to measure the effectiveness of QMS and track progress over time.• External Audit o Participate in external audits relevant to QMS. o Ensure readiness for external audits by identifying and correcting non-conformities. o Schedule and manage all audits, and coordinate with all Departments and Head Quarter as needed. Analyze and interpret audit results, introduce and control resulting actions required as well as prevent any other potential non-conformities happens in future.• Data Analysis & Reporting o Analyze data related to quality performance, identify trends, and generate reports to track progress and identify areas for improvement. o Monitoring the implementation of the QMS targets, objectives, reporting results for the Board of Management at meetings periodically. o Prepare and Organizing management review meeting report and directly reporting the status implementation, maintenance, and improvement of QMS to the Board of Management in alignment with IMS Manager.• Other duty o Other supporting duties as assigned in agree with IMS Manager.
