Administration
• Record and transcribes minutes of meetings.
• Type correspondence, memorandums, circulars, reports etc.
• Opens/dispatches mail relative to the department.
• Input in the computer specific data when requested.
• Arrange appointments / meetings for FOM and remind of appointments and meetings.
• Keep Department files in good order.
• Maintain professional business confidential.
• Performs other related duties as directed by the FOM.
• Perform and follow up on special projects under supervision of FOM.
• Follow up on daily activities of Front Office upon request of FOM.
• Establishes effective employee relations, maintains the highest level of professionalism, ethic and attitude towards all hotel guests, clients, heads of section and employees.
Training and Human Resources Management
• Manage the monthly attendant record of FOM
• Combine monthly Smart duty roster for Front Office department
• Monthly send out Training Calendar of the following month
• Update SOPs for department in need and ensure the following of department
Accor Live Limitless Champion
• Review daily member check-out reports and take corrective actions if necessary
• Handle all guest’s enquiries relating to loyalty program
• Conduct ALL trainings for internal department, send updates of the program to concerned department
• Review monthly ALL invoice and spot check to identify any fraudulent
Task list
• Daily check rebate files, credit request files, no show files
• Weekly supervise AllSafe cleaning schedules for Front Office and coordinate the works
• Weekly combine Smart duty roster for all sections and send to Talent and Culture’s officer
• Monthly combine and check Upsell incentive report, Accor Plus hotel sales incentive report, and no-show report
• Monthly combine JV meeting’s presentation slides
• Monthly combine and update Front Office Manning and Vacation Chart.
Miscellaneous
• All ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances.
• All ambassadors may be assigned to other duties in the hotel as and when required by business levels.
