**Job description:• Position: Human Resources Staff• Department: HR• Directly report to: Human Resources Manager• Indirectly report to: BOD & CEO• Replacement in emergency case: Human Resources Manager• Working time: According to Company regulations.**Duties & Responsibilities:Time sheet, salary, bonus:- Be in charge and calculate of monthly timekeeping (attendance, deductions, adjustments, overtime, unpaid leave, annual leave, sick leave….) for employees based on time data and overtime records.- Review, remind employees who don’t comply with the Company regulation of tag scanning (if any)Follow up late coming, early leave and leave without reason:- Compare time in, time out of staff, provide data for handling disciplinary violations to make sure that company regulations are seriously observed.Annual leave follow up:- Update annual leave of staff, follow up and compare daily to ensure accuracy, punctuality.- Co-ordinate with secretaries of departments to make sure staff have annual leave as regulated.Policies, staffing plan:- Support for the formulation of policies, rules, regulations, standards, system evaluation, salary, bonuses, benefits related to HR.Recruitment:- Support for recruitment to meet company plan needs as requested.Labor contract, personnel profile:- Responsible for Offer Letter, Probation contract, Official labor contracts, personnel decisions,personnel files of all staff of the company in compliance with the laws.- Responsible for procedures, registration records, periodic reports on labor in compliance with company policies & state regulations.Salary, bonus & other policies:- Assist HR Manager for policy formulation salaries, bonuses and related modes for thecompany.- Check & be responsible for the calculation & payment of the salaries, bonuses and other allowances in compliance with company policies.Insurance:- Responsible for social, health & unemployment insurance & accident insurance in compliance with policy companies & state regulations.To settle complaints of employees:- Assist HR Manager to evaluate and propose solutions to resolve disputes, complaints of workers.- Resolve complaints of workers about salary, incentivesLabor regime:- Coordinate with the department addressing modes, welfare for employees. Company representative visiting, welcome and encourage the workers or their family’s funerals, weddings, accident, according to the company policies.Labor contract, personnel profile:- Prepare labor contracts, personnel decisions, personnel files of all staff of the company incompliance with the laws.- Responsible for registration records, periodic reports on labor in compliance with company policies & state regulations.Resignation cases:- Follow up and implement the resignation process & procedures: Prepare final settlement, decisions in compliance with the lawsGeneral Administration:- Managing administration team and service providers: to ensure smooth, effective provision of administration services: in/out letters, canteen, organization of meetings, reception, cleaning, gardening, waste management,- Monitor and manage a team of administration fulltime as well as part-time staff of Samilbased at various locations; receptionists, admin staff, cleaners, security guards, gardeners & drivers.>> Providing administrative services:• Security check for coming/leaving factory: Check workers in adherence of safety policies;• Cleaning, gardening, outside factory;• Reception: guest reception• In/Out letters,• Meeting room management, meeting organization (as requested)• Canteen management,• Waste management & disposal;• Support organization of meetings, events, seminars, company’s party, employee travel trips (if any)• Support o1rganizing events in the company (if any).• Permits: visa/ temporary card/ translation / notarization / consular legalization for foreign labors, house renting;• Manage contracts of administration services and manage contractors to follow thecompany policies and regulations• Support HR Manager with all documents related to visa application for foreigners when required• Support the Department to submit/receive results at the Immigration Department• Support EHS team to maintain fire-fighting and harmful waste management, environment protection adherence.Document file:- File all HR documentsReport:- Perform related reports and periodically as required by HR Manager- Regular and at-request report to local authorised organisations;Other responsibilities:- Other tasks requested by HR Manager & BOD
