Key Responsibilities
1. Sales Activities & Revenue Generation
Achieve assigned sales targets for rooms, meetings, events, and other hotel services.
Proactively prospect new clients and develop new accounts in assigned market segments (Corporate, MICE, Travel Trade).
Conduct site inspections and entertainment for potential and existing clients.
Prepare and deliver sales presentations and proposals to clients.
Negotiate contracts and close deals to maximize revenue.
2. Account Management
Build and maintain strong relationships with key accounts and decision-makers.
Regularly visit existing clients to maintain relationships and identify upselling opportunities.
Handle client inquiries, requests, and feedback promptly and professionally.
Monitor account performance and develop action plans for underperforming accounts.
3. Market Intelligence
Monitor market trends, competitor activities, and industry developments.
Provide feedback and suggestions on pricing, positioning, and sales strategies.
Identify new market segments and business opportunities.
4. Coordination & Communication
Coordinate with other departments (Front Office, F&B, Events) to ensure smooth execution of group bookings and events.
Prepare and distribute group resumes and banquet event orders (BEOs).
Communicate client requirements clearly to operations teams.
Participate in sales meetings, briefings, and training sessions.
5. Reporting & Administration
Maintain accurate records of sales activities, calls, and entertainment in the system.
Prepare weekly and monthly sales reports as required.
Update and maintain client databases and contact information.
Ensure all contracts and documentation are properly filed.
6. Other Duties
Participate in sales trips, trade shows, and industry events.
Support hotel promotional campaigns and activities.
Perform other duties as assigned by the Director of Sales or Sales Manager.
Sales Administrator provides comprehensive administrative support to the Sales team, ensuring smooth daily operations, accurate documentation, and effective coordination between the Sales department and other hotel divisions. This role is essential in maintaining organized sales records, preparing reports, and supporting the team to achieve revenue targets.

Provide daily administrative support to the Sales team including filing, photocopying, and document preparation.
Manage correspondence, emails, and phone calls for the Sales department.

2. Documentation & Contract Management
Prepare sales contracts, banquet event orders (BEOs), and group resumes.
Ensure all contracts are properly signed, filed, and updated in the system.
Track contract expiry dates and support contract renewal process.
Maintain accurate records of corporate rates and special promotions.
3. Reporting & Data Management
Assist in preparing monthly sales reports, forecasts, and performance analysis.
Update and maintain customer databases and contact lists.
Track sales activities, site inspections, and entertainment expenses.
Support the team in compiling data for budget planning and reviews.
4. Coordination & Communication
Coordinate with other departments (Front Office, F&B, Finance) to ensure smooth execution of events and group bookings.
Liaise with clients for administrative matters such as sending proposals, confirming details, and follow-up communication.
Schedule meetings, site inspections, and client entertainment for the Sales team.
Assist in organizing sales trips and industry events.
5. Office Management
Manage office supplies and stationery for the Sales department.
Handle purchase requests and follow up with the procurement team.
